This policy describes how Too Cool Air, LLC ("Too Cool Air", "we", "us") handles information collected through https://toocoolair.com, our online booking tool, and the phone, text and email conversations that follow a service request.

Information you provide. Name, service address, phone number, email address, preferred appointment time, and the description of the comfort or equipment problem you submit through a contact form, the booking calendar, a phone call, or a text message.

Service records. Equipment details, diagnostic measurements, photos taken during a visit, estimates, invoices, warranty registrations and Filter Club membership details.

Automatically collected data. IP address, device and browser type, referring page, pages viewed and time on page, collected by website measurement tools.

Online appointments are handled by our scheduling and CRM provider (LeadConnector / HighLevel) through an embedded booking widget hosted at https://api.leadconnectorhq.com/widget/bookings/toocoolair-service. Information you enter into that widget is transmitted to and stored by that provider on our behalf so we can confirm, remind and follow up on appointments. Their handling of that data is governed by their own privacy terms in addition to this policy.

We use website analytics (such as Google Analytics) to understand which pages people visit, how they arrive, and which pages lead to service requests. These tools set identifiers that record activity on this site. We use this data in aggregate to improve the site; we do not use it to make decisions about individual customers.

Cookies and similar storage keep the site working (page state, form entries) and support the analytics described above. Most browsers let you refuse or delete cookies. Blocking them may prevent the booking widget or forms from functioning correctly.

When you call, email or text us, or provide a mobile number when booking, we use that contact information to schedule service, send appointment confirmations and reminders, deliver estimates and invoices, and answer questions about your system. Message and data rates may apply to text messages. You can stop service-related texts at any time by replying STOP or by telling the office; we will still need a way to reach you about a scheduled appointment.

To schedule and perform HVAC service; to prepare estimates and invoices; to register equipment and process manufacturer warranties; to administer Filter Club memberships; to respond to questions and reviews; to keep required business, tax and licensing records; and to improve this website.

We share only what is necessary with providers who work on our behalf: our scheduling and CRM platform, payment processing, accounting, equipment manufacturers and distributors for warranty registration and parts, and website hosting and analytics providers. We do not sell your personal information.

We may disclose information when required by law, to comply with a valid legal process, or to protect the safety, rights or property of customers, Too Cool Air or the public.

Service, estimate, invoice and warranty records are retained for as long as needed to support the equipment we installed or serviced and to satisfy business, tax and licensing requirements. We use reasonable administrative and technical safeguards to protect the information we hold. No method of transmission or storage is completely secure.

You may ask us to review, correct or delete the personal information we hold about you, opt out of marketing messages, or ask how your information was used. Contact us using the details below. We may need to keep certain records where retention is required by law or necessary to honor a warranty.

This site is intended for adults arranging service for a property. We do not knowingly collect information from children.
